QuickBooks Invoice Reminders vs Casey: Which Gets You Paid Faster?

By the Casey team · · 7 min read
The short answerQuickBooks sends scheduled email reminders from one saved template. Casey, which works on top of QuickBooks, adds follow-ups by text, email and WhatsApp timed to each customer, plus a collections team after 60 days. No independent head-to-head data exists, so speed comes down to channel, timing and who does the chasing.

That's the honest shape of this comparison. QuickBooks reminders are a feature inside accounting software. Casey is a dedicated accounts receivable assistant, and it can sit on top of QuickBooks rather than replace it. So the real question is not "either/or" but "is the built-in reminder enough for how my customers pay?"

How we compared

We looked at what matters to a small business owner who bills after the work is done:

  • Time saved: how much you still do by hand.
  • How follow-ups go out: channel, timing and tone.
  • Getting paid faster: what actually moves a customer from "I'll get to it" to paid.
  • Cost when customers pay on time: most invoices should cost you nothing extra.
  • What happens past 60 days: reminders stop being enough.
  • Setup: how long before it's working.

One caution up front: we found no independent, head-to-head data on which tool gets invoices paid faster. The only speed figures are each vendor's own marketing claims, so treat any "paid X days faster" number as a claim, not a benchmark.

QuickBooks invoice reminders

What QuickBooks does well

If your invoices already live in QuickBooks Online, the built-in reminders are the lowest-friction place to start. According to Intuit's help article, you can set up automatic reminders that go out before or after the due date, scheduled up to 90 days on either side. You can also send a reminder manually from any individual invoice, and you can insert variables like the invoice number and your company name.

Intuit also claims on its invoicing page that you get paid 4 days faster on average when you send invoice reminders with Intuit AI. That is Intuit's own marketing claim, and its other pages cite slightly different figures, so read it as a vendor claim rather than independent evidence. Intuit also says its Payments Agent can draft proactive reminders and suggest late fees.

Payments run through QuickBooks Payments, which means a pay link on the invoice. Intuit's fee page lists 2.9% for an invoiced card and 1% for ACH, capped at $10, though that page is undated and a secondary source reports slightly higher card rates, so check Intuit's current rates page before you decide.

Where QuickBooks falls short

Based on Intuit's help article, reminders work like this:

  • They go only on invoices you've already emailed and that are still unpaid.
  • They use a single saved template for all invoice reminders.
  • The article describes email only. It doesn't list text or phone as reminder channels, and it doesn't describe tone escalating on its own.

We couldn't verify which QuickBooks plans include automatic reminders; the help article names workflows on QuickBooks Online Advanced but doesn't spell out plan-by-plan availability. List prices reported by NerdWallet as of October 2026 are Simple Start $38, Essentials $85, Plus $140 and Advanced $340 a month, but that's a secondary source, so confirm on Intuit's pricing page.

The bigger gap is what happens after the reminders. Nothing in the reminder feature takes over when a customer goes quiet for 60 days.

Who QuickBooks reminders suit

Businesses with a bookkeeper or someone who watches the receivables list, customers who reliably read email, and owners who just need a nudge before and after the due date.

Casey

What Casey does well

Casey is an AI accounts receivable assistant. You text it like an employee (iMessage, WhatsApp, Telegram, SMS, Slack or email): "Bill Studio Nova $2,400 for the March shoot." It sends the invoice by email and text with a card or ACH pay link, under your business name and logo.

The follow-up is where it differs from a template:

  • 3 days before the due date: a friendly reminder, free.
  • From 4 to 60 days past due: Casey follows up automatically on the channel and at the time each customer responds to, offers payment plans and partial payments, and learns how each customer pays.
  • 60+ days past due: with one tap, the invoice goes to Casey's collections team (AI plus people) for calls, formal demand letters, legal notices, payment plans and settlements with your approval.

Casey asks before doing anything sensitive, and you can pause reminders for any customer. It integrates with QuickBooks Online and Clio (importing open invoices and staying in sync) and Stripe for card and ACH payments.

Where Casey falls short

Casey isn't accounting software. If you want one product for your books, payroll and taxes, QuickBooks is the system of record, and Casey sits next to it. The optional Books add-on ($129 a month) covers bank feeds, categorizing, receipts and 1099s, but if you're deep in QuickBooks you probably won't swap it. Casey is also built for US small businesses that bill after the work is done, so it's not aimed at large finance teams or businesses outside the US.

Who Casey suits

Contractors, home services, law firms, clinics and studios, and agencies and consultants who don't have time to chase, and whose customers answer texts faster than email.

What it costs

Sending invoices, pay links and the pre-due reminder is free. Invoices paid on time (up to 3 days past due) cost nothing. Casey charges $5 per invoice only if it has to chase it, from 4 days past due, however many follow-ups it takes. Collections (60+ days) cost 20% of what's recovered, and nothing if nothing is recovered. See pricing.

Why we built Casey differently

A reminder template solves one problem: remembering to send a message. It doesn't solve why customers pay late, which is usually that the invoice is buried, the message arrived at a bad time, or the customer meant to pay and forgot.

So we built Casey around three ideas:

  1. Reach people where they respond. Many customers ignore email but answer a text within minutes. Following up on the channel and at the time each customer responds to is a bigger lever than writing a better template.
  2. Pay only when it works hard. Most of your invoices get paid on time, and those should cost nothing. The $5 fee applies only when Casey has to chase.
  3. Don't stop at reminders. Past 60 days, a friendly nudge rarely changes the outcome. A collections team can call, send formal demand letters and negotiate settlements with your approval.

So which gets you paid faster?

Honestly, there's no verified head-to-head number. Here's what we can say from how each tool works.

QuickBooks has the advantage of being where the invoice already lives and of a pay link attached to it. Its reminders are scheduled email on a template, up to 90 days before or after the due date.

Casey's advantage is the follow-up itself. A text that arrives at the hour a customer usually reads messages, offering a payment plan if they need one, tends to beat a fixed-schedule email to a customer who doesn't open email. We can't put a number on it, and we'd be skeptical of anyone who does without showing their method.

There's also a cost difference worth working out. QuickBooks reminders come bundled in a monthly plan whether or not you ever have a late invoice. Casey costs nothing on invoices paid on time and $5 on the ones it chases. If you want to see what late payment is costing you now, try the late payments cost calculator.

Which should you choose?

  • Choose QuickBooks reminders alone if you have a handful of invoices, your customers pay when emailed, and you or a bookkeeper review the aging list every week.
  • Add Casey on top of QuickBooks if invoices regularly slip past due, customers ignore email, you hate the awkwardness of chasing, or you want a plan for the ones that go 60+ days. Casey imports your open QuickBooks invoices and keeps them in sync, so you don't re-enter anything.
  • Choose a full accounting suite or in-house AR team if you're a larger finance team with complex billing across many entities, or you're outside the US.
  • Use neither for a customer who's stonewalling until you've tried a direct approach; see how to collect payment from a client who is ignoring you.

Frequently asked questions

Does QuickBooks send invoice reminders by text message?

Intuit's help article describes email reminders only and doesn't list text or phone as reminder channels. Casey follows up by text, email and WhatsApp, depending on what each customer responds to.

Can I use Casey and QuickBooks together?

Yes. Casey works on top of QuickBooks Online: it imports your open invoices and keeps them in sync, so you can keep QuickBooks as your accounting system.

How much do QuickBooks reminders cost?

Reminders are a feature of QuickBooks Online, so the cost is your plan. NerdWallet reports October 2026 list prices of $38 to $340 a month, but check Intuit's pricing page because we couldn't verify which plans include automatic reminders.

How much does Casey cost if customers pay on time?

Nothing. Sending invoices, pay links and the pre-due reminder is free, and invoices paid by 3 days past due cost nothing. Casey charges $5 per invoice only when it has to chase one.

What happens to invoices more than 60 days overdue?

With QuickBooks reminders alone, nothing automatic. With Casey, one tap sends the invoice to its collections team for calls, demand letters and settlements you approve, for 20% of what's recovered and nothing if nothing is recovered.

Does Intuit's 'paid 4 days faster' claim mean QuickBooks is faster?

It's Intuit's own marketing claim, and its pages cite different figures, so treat it as a vendor claim. We found no independent comparison of payment speed between QuickBooks and Casey.
